For a Medicare-certified home health agency, falling out of regulatory compliance regarding timeliness of claim submission is a constant threat. When the agency is at fault, remedies might be available through improved operational procedures. When the cause of the delay is completely out of agency control, there is no remedy, only frustration.
Referring physicians are in a position to thwart an HHAs efforts to be compliant. When signed documents arrive late, despite repeated pleas, billing has to wait, sometimes beyond the regulatory deadline. General consensus is that sending documents by mail is the worst way to get a timely signature, faxing them is the second worst. Physicians hate paper; HHA staff hate paper; fax machines are slow, expensive leftovers of a bygone era. The answer is electronic systems for delivering referrals and signing documents.
"Client Sidekick" is the newest entry in the growing field of electronic physician portals. Conceived and developed by Ziad Kassab and beta tested at his home health agencies, Guardian Angel Home Health in Michigan and Danny's Home Health in California, Client Sidekick supports electronic referrals and electronic document completion and signing. Physician offices can complete a patient profile online and send it directly to their chosen home health provider.
Kassab walked us through the application and described its fee formula. After a brief demonstration, we were able to use the web-based system without additional training. Physicians will find it to be intuitive and easily mastered, whether they use it themselves or assign a qualified staff person to complete the online documents for them to sign electronically.
A tiered monthly fee schedule should make Client Sidekick affordable to large and small providers. Number of assessments, orders and Face-to-Face documents determine an agency's fee. Client Sidekick will be offered to home health, home care and hospice providers and free to physicians.
